@misc{misc, author = {Arthur Chipeta and Lighton Phiri}, title = {Intelligent File Management System: An Individual Subsystem of the Intelligent Digital Library with Personalized Study Assistance}, abstract = {University students accumulate academic resources across downloads, learning platforms, email, messaging applications, and websites, making consistent organisation and later retrieval difficult. This project designed, implemented, and evaluated an Intelligent File Management System that provides a secure web-based personal library for supported academic files and webpages. The system combines a browser interface, a FastAPI service, SQLAlchemy persistence, and configurable local or private cloud object storage. Available text is extracted from supported document formats and used by a transparent hybrid classifier that considers course codes, filenames, headings, controlled terms, and TF-IDF cosine similarity. The system stores the proposed category, confidence information, ranked alternatives, review state, and topic labels with page or slide evidence where available. Resources are organised in a Course-to-Material-Type hierarchy, while manual category corrections, topic edits, renaming, and folder movements remain authoritative. Evaluation of the implemented subsystem produced 23 successful automated tests. Ten attempted cross-user operations returned 404, demonstrating owner isolation for the covered resource paths. Five controlled category fixtures and four topic-and-location assertions also passed. Local microbenchmarks recorded median core times of approximately 191.1 ms for classification and 10.9 ms for topic extraction on short fixtures. These results support the functional correctness and technical feasibility of the tested prototype. They do not establish general classifier accuracy, participant usability, deployed scalability, or production security because an independent labelled collection, a completed user study, and end-to-end deployment measurements were not available. The project therefore provides an explainable and user-correctable foundation for content-aware academic resource organisation, with independent evaluation and production hardening identified as the main next steps.}, year = {2026}, pages = {100}, publisher = {University of Zambia}, address = {Lusaka, Zambia}, }
